How to Unsend an Email in Outlook
By: Bryan Tropeano

We’ve all been there. You hit “Send” too fast and that sinking feeling hits immediately, wrong file, missing attachment, typo in the subject line, or maybe you sent it to the wrong person altogether. I once fired off an email without double-checking the recipients and ended up copying someone who definitely wasn’t supposed to see it. The awkward follow-up was painful, and ever since then, I’ve been on the lookout for ways to unsend emails in Outlook before mistakes do real damage.

The good news is that Outlook gives you a few options to unsend email in Outlook. The not-so-good news is that it does not always work the way you would hope. Let’s go over what you can actually do.

Can You Actually Unsend an Email in Outlook?

The short answer is sometimes, but only under certain conditions.

  • If you’re on a work or school account (Microsoft 365 or Exchange), Outlook has a Recall Message feature. It attempts to pull the email back, but only if the recipient has not opened it yet and they are on the same system.

  • If you’re using Outlook.com (like Hotmail or MSN), you cannot do a full recall, but you can set up Undo Send, which gives you a few seconds to take the email back.

  • If you sent it to Gmail, Yahoo, or another outside service, Outlook cannot yank it out of someone else’s inbox.

So yes, Outlook has recall tools, but they come with strings attached. Using them is one way to unsend email in Outlook, but it is not guaranteed.

Method 1: Recalling an Email in the Outlook Desktop App

If you’re using Outlook at work, here’s how to try a recall:

  1. Open your Sent Items folder.

  2. Double-click the email to open it in its own window.

  3. On the top menu, click Message → Actions → Recall This Message.

  4. Choose either:

    • Delete unread copies

    • Delete unread copies and replace with a new message

  5. Check the box to be notified if the recall works.

  6. Click OK.

If the recipient has not read it yet, you are in luck. Otherwise, the original message will stay put. This method is one of the main ways to unsend email in Outlook for corporate accounts.

Method 2: Undo Send in Outlook.com or Outlook Web

This is simpler. Instead of deleting emails after they are sent, you give yourself a tiny buffer before they go out.

  1. Open Settings → View all Outlook settings.

  2. Go to Mail → Compose and reply.

  3. Find Undo Send and set it to 5 or 10 seconds.

Now, after you click “Send,” an Undo option appears for a few seconds. If you spot a mistake quickly, you can stop the message before it leaves. This method is a quick way to unsend email in Outlook on web accounts.

Method 3: Add a Delay to Every Email

If you often catch mistakes too late, this trick is a lifesaver. You can make Outlook hold onto every email for a minute or two before sending.

  1. Go to File → Manage Rules & Alerts.

  2. Create a new rule for messages you send.

  3. Pick Defer delivery by X minutes (1–2 minutes is enough).

That way, your emails sit in the Outbox for a bit, giving you a chance to pull them back if needed. For one-off messages, you can also schedule them with Options → Delay Delivery. Using a delay rule is another smart way to unsend email in Outlook before it goes out.

What If You Cannot Unsend an Email?

Sometimes the message is already out there and there is nothing you can do. In those cases:

  • Send a quick correction and keep it short and to the point.

  • Own the mistake if it is obvious. A simple “Sorry, wrong file, here is the right one” works.

  • Move on. Over-explaining usually makes it worse.

Even if you cannot truly unsend email in Outlook, handling mistakes quickly can save you a lot of stress.

Tips to Avoid Email Mistakes Altogether

Since recall is not foolproof, prevention is the best approach:

  • Add attachments before writing the email body.

  • Double-check recipients, especially when using “Reply All.”

  • Give your subject line one last look.

  • Draft important messages first and then send later.

  • Use a delay rule for a safety buffer.

I have saved myself more than once with a delay rule. One time, I caught a last-second typo in a proposal email and it was still sitting in my Outbox. Relief does not even begin to cover it.

Final Thoughts

So, can you unsend email in Outlook? Yes, but only sometimes. Recall works if you are on the right system and the other person has not read it yet. Undo Send gives you a few seconds of safety. A delay rule is the smartest way to give yourself a permanent safety net.

Even if you cannot always take an email back, these tricks make those “oh no” moments much less stressful and help you stay in control of your inbox.
